Add, Edit, and Delete Notes

Notes in Advisor Rebalancing allow you to add documentation to accounts that can be widely seen by other users who handle those accounts. Client wishes, account changes, alerting to special circumstances, trading notes, and other issues, including compliance issues, can be documented in accounts using notes.
Because notes can be used for different reasons and can alert you to important information, there are many ways to add notes to accounts. In addition, users with permission to do so can also edit or delete old account notes and create bulk reports to review account notes.
You can add notes to an account from many different places in Advisor Rebalancing. The following steps outline the various ways to add notes to an account, including account notes, trading notes, order notes, security restriction notes, and cash reserve notes.
To create a note to an account for one or more accounts using the More Actions menu, follow these steps:

Select the check boxes next to the accounts where you want to add notes.
In the More Actions list, click Add Account Note, and then click Continue.
In the Notes window, type the note for the account or accounts and then click Add Note.
Checking the Trading Note check box changes the status of the note to a Trading Note. For more information on the difference, see Overview of Notes in Advisor Rebalancing.
When viewing individual accounts or single rebalancing groups, you can easily add account notes. To add an account note when viewing a single account or rebalancing group, follow these steps:
Visit one of the following:
Account Settings page of an individual account
Rebalancing Group Settings page for a rebalancing group
The Rebalance Summary for the account or rebalancing group
The Trade Summary for the account or rebalancing group
Click the Add Note icon for the account. These are the different icons you might see in various accounts:

Some pages have an available Account Note column. When you add this column to your page view, you can see each account's Add Note icon without having to open Account Settings or Rebalancing Group Settings.
In the Notes window, type the note for the account or accounts and then click Add Note.
Any historical notes already in the account will appear on the bottom portion of the Notes window.
Checking the Trading Note check box changes the status of the note to a Trading Note. For more information on the difference, see Overview of Notes in Advisor Rebalancing.
Trading notes are a kind of account note that are prominently displayed and highlighted as important. The purpose of this is to make important or time-sensitive notes stand out from other notes. Advisor Rebalancing alerts you about these notes so they won't be missed. For more information, see Overview of Notes in Advisor Rebalancing.
To add a trading note, follow these steps:

Select the check boxes next to the accounts where you want to add notes.
In the More Actions list, click Add Account Note, and then click Continue.
In the Display though box, type or select the last day you want Advisor Rebalancing to differentiate trading notes from account notes. After this date, the note will still be available in historical notes.
Type the trading notes and then click Add Note.
Like trading notes, when you add an order note to an account, Advisor Rebalancing highlights the note so that it won't be missed. It warns you and others that there's an order note.
To add a note to a specific order for an account, follow these steps:
Visit the Rebalance Summary for the account.
In the list of trades, click the next to the order where you want to add an order note.
Type your notes in the Order Note box and then click Save.
During the rebalance review process, you have opportunities to provide a reason for trading. You can add background information about why you are trading in that account. Once entered, you can see any entered reason for trade information on the Rebalance Summary.
This reason can be entered once and is overwritten if you add another reason for trade.
You can access these notes on Bulk Reconciliation bulk report to review this information in the future.
To add a reason for trade note, follow these steps:

If on the Rebalance Summary, expand the Reason for Trade section and click Add Reason for Trade.
If on the Trade Summary, click Add Reason for Trade(s).
Type the reason for the trades and then click Save.
You can also add a reason for trade on Trade Actions when generating trades from the Trade List.
Security restriction notes can be added when restricting securities in individual accounts. The notes will then appear along with other information, errors, and warnings you see during the rebalancing process.
To add a security restriction note, follow these steps:
On the Accounts menu, click Account Settings.
In the Search accounts box, type the name or number of the account where you want to add a cash reserve note and then click Select.
Click the Rebalance & Trade Settings tab.
Click Edit to add a note to an existing security restriction in the account. Click + Add to add a new security restriction in the account.
Type your restriction notes and click Update or Add.
Cash reserve notes allow you to add additional information about cash reserves set in clients' accounts. For example, you can specify the reason for the cash reserve, a date for an RMD, or other specific information.
To add a cash reserve note in an account, follow these steps:
On the Accounts menu, click Account Settings.
In the Search accounts box, type the name or number of the account where you want to add a cash reserve note and then click Select.
Click the Cash Management Settings tab.
If you haven't added the cash reserve yet, click Add and add the cash reserve. If you've already created the cash reserve, click Edit.
In the Notes box, type the note you want to add to the cash reserve
Click Update.
Advisor Rebalancing allows you to edit and delete account notes. However, this is only allowed for users who have permission to do so.
Deleting a note is permanent. Once you delete a note, it cannot be recovered.
To edit or delete a trading note, follow these steps:

In the Search accounts box, enter the name or account number. Advisor Rebalancing will show the accounts and rebalancing groups that meet the criteria you entered.
View notes for the account by clicking or .
Edit or delete the note by doing the following:
Click the Edit link to edit the note and make changes to the text being shown and then click Save.
Click the Delete link to delete the note and then confirm that you are deleting the note by clicking OK.
To change the expiration date of a trading note, follow these steps:
On the Rebalance Summary report, click the trading note icon .
On the trading note, click the display through date. In the Modify Expiration Date box, click a new expiration date for the trading note and then click Save.
